Talk Outlines
  • How many talks do I need to submit each year?
  • Your first year you will be asked to submit four outlines. After that you are not required to submit any more talks; however, you are always welcome to update your talks or submit new talks. Talks expire after seven years and will need to be updated and resubmitted if you would like to continue using them.

  • How do I correctly turn in an outline?
  • You will submit the class outlines online. Go to Preparing to Teach and click on the class outlines tab in the middle of the page for an example of what an outline of a talk should include. Then, log onto your account, click on the talk tab, and finally click on create a new talk. Once the talk has been created and it is just how you want it to be, save it and submit it for approval.
  • How do I adjust talks from previous years? How do I get them re-approved?
  • To make changes, corrections, alterations, etc to a talk you have previously cleared, you need to resubmit the talk as if it were a new talk.
  • Can I have a talk removed from the list if I feel it really didn't go so well last year? If I can how do I do that?
  • To have a talk removed from the list of cleared talks, you have the option to activate or inactivate the talk yourself. To do this, sign onto your account. The page where you submit your talk is the same place where you will make your talk inactive. To change the status of a talk, click on the talk title that you would like to change. At the bottom of the page, the middle button will say make inactive, or make active. Click on the button.
  • What kind of "permission" do I need for telling stories or experiences in an EFY talk?
  • You need to indicate on your outline that you will be sharing a personal experience and give a brief one or two sentence summary of the story and how it relates to your lesson.
  • Do I need to give you a photo of myself? I have a digital photo, will that work?
  • No. If we need a picture of you then we will e-mail you to send us one. We would like pictures of new teachers and updated pictures for previous teachers, but it is not necessary to send us one.
Lessons
  • Is there technology available for us for our presentations?
  • (See A/V and Other Resources section for more details)
  • Any video clips shown must be approved church curriculum.
  • When submitting class outlines you can request AV needs for each of your classes. After you have submitted your outlines (and initial AV request), any changes must be reported to our office no later than three weeks before the session. We will do our best to schedule what you have requested. Please be flexible if the AV is not available.
    Please Note: You need to be prepared to start and end your presentation on time with or without the requested equipment.
  • What if I want to give a handout to the youth in my classes? How can I know how many youth to expect?
  • If you wish to give a handout to the youth you will need to send a copy of that to our office for approval. We can not make copies for you and are not able to reimburse you for this expense if you choose to give handouts in your class. There could be 25-150 youth in each class.
Travel & Other Accommodations
  • Can my family accompany me to some of the activities during EFY? If so, which ones? What are the food and living arrangements?
  • If your children are enrolled in the session they may attend the activities you are participating in. Your spouse is welcome to sit in on your classes if they would like to, but we cannot have children who are not enrolled participate in the program.
  • We will make arrangements for you to fulfill your assignments at the session, if you would like to bring family members with you which would alter your lodging accommodations, you will need to make those additional arrangements. We will only reimburse you for your food expenses.
  • My spouse would like to accompany me on one of my assignments that I will be flying to. Is this appropriate and if so, how do I make arrangements for her to come with me?
  • We will be making arrangements for you to attend your session. If you would like your spouse to attend with you, you will need to indicate that in the online travel section of your account. We will then notify you when we are ready to make your arrangements and we can transfer your call to the BYU travel office and you can make payment arrangements with them for the cost of your spouses' arrangements.
  • How do I get reimbursed?
  • First, you need to keep your receipts! For EFY, you will need to have receipts for everything except your meals. Your meals are reimbursed on a per diem rate. For youth conferences you need to keep your receipts for meals. There are reimbursement forms online for you to download. When you return from traveling, fill out the form and attach the ORIGINAL receipts. We cannot reimburse you using a copy of your credit card statement, or an online statement. If you lose your receipts you will need to contact the rental car company or the hotel to obtain a copy of your receipt from them. If you cannot obtain a second copy, call our office and we will instruct you from there.
  • How long does it take to get reimbursed for traveling expenses?
  • As soon as we receive the request from you we will process that request. It usually takes about 3-5 weeks to complete the request. It will be a separate check you receive in the mail from BYU unless you have direct deposit set up with BYU (which is different than the church direct deposit).
Payroll
  • I wasn't aware that we get paid to work for EFY. How much do we get paid?
  • You will be paid $50/teaching hour.
  • If you are full-time CES personnel, you will not receive pay in addition to your regular salary for your work with our program unless the work is done in the evenings or on the weekends. Evening begins at 5:00 p.m.(However, if you are session directing for one of our programs, you will receive additional pay).
  • How are we paid?
  • You will be paid by direct deposit through the Church Office Building payroll department. If you are currently a full-time CES employee it will be a separate deposit and a separate pay stub will be mailed to you. You will receive two separate W-2 forms for tax purposes as well.
  • I worked in a different state than I live and my taxes were taken out of that state. Do I have to file taxes in that state as well as the state I am living in? What if I worked in multiple states?
  • The government requires that you pay taxes where you work. We have been permitted to choose one state to have your taxes taken out of. If you worked in the state you lived in, we were able to select your home state as the tax location.

  • However, if in a given year you never work in the state you lived in, taxes will be taken out from the state you worked the most in.
  • If ANY of your assignments are in the state of Utah, UT will be the state the taxes are taken out of, even if you worked in your home state as well.
  • You will have to file with those states in order to get the refunds.
Correspondence
  • I have not been receiving the newsletters as in the past. How do I make sure I am on your mailing list?
  • We do all of our correspondence through email and over the internet. You need to be checking your email regularly and responding to the necessary requests in order to be prepared for the summer. Call our office at (801) 422-7677 if you have not received any emails.
  • I forgot my user name and password to login to the internet site. Can you help me?
  • If you call our office we can give you your user name. If you need your password as well you need to call registration at (801) 422-8925.
  • I recently moved and need to change my contact information with your office. How do I go about doing that?
  • You need to log on to your Continuing Education account and make those changes. That will automatically update the system.
  • I just got a new email account, how do I change my email address with your records?
  • You need to email efyteacher@byu.edu and we will make the change for you.

Hiring Paperwork
  • If I am Canadian or not a US citizen, what hiring paperwork do I need to complete?
  • There are several different forms for Canada. It depends on the province you live in. All Canadians need to fill out a Canadian Tax form, then you need to fill out the specific form for your province (similar to our state and federal filings in the U.S.). For additional help in finding these forms you can call us at 801-422-3817 then press 0.
  • On the I-9 form it indicates that I need to have a local CES employee fill out this form and verify my I.D. cards. I am the only CES employee for several hours. Do I need to find a way to meet someone else from my area to complete this?
  • Any CES employee can fill this out (including secretaries, part-time teachers, and other teachers in your seminary). It does not need to be an Area Director or a Principal. However, some of you are the only CES personnel in your area. In this case, please just make sure that you photocopy both of the forms of I.D. required in Section 2 and leave section 2 blank. Mail those photocopies, and the form with Section 1 completed back to our office and we can finish filling those out for you.
  • If I didn't use my social security card to fill out the I-9 do you still need to see a copy of my social security card?
  • YES! By law we have to have a copy of this card on file for you BEFORE you begin working.
  • Do I actually need to send in a check with the direct deposit form?
  • Yes, you will need to send in a voided check. Please tape that check to the form where it says "attach voided check".
  • If I am already paid through the Church Office Building do I still have to complete all of this information?
  • Yes. Although they have this information on file for you, they require us to gain this information as you are now being hired as our employee in addition to your employment with the Church.
Information for CES Employees

If you are already a full-time CES employee there are other guidelines for your participation with our program. We have tried to outline those for you below:

  1. You are allowed to work 12 days a year for any Continuing Education program. You are responsible for tracking and reporting these days.
    1. You must take a full day when taking these days—no partial days are permitted.
    2. If you are teaching at a session out of state you will need to use at least three CES days (Mon.-Wed.). If for some reason you fly home on Thursday you will need to use another CES day. Additional travel information can be found at: "Faculty Travel Policies 2006"

  2. You will not be allowed to work for our programs on your vacation time or personal leave days—any work for our department must be counted as one of the 12 days allotted.

  3. You will not receive pay in addition to your regular salary for your work with our program unless the work done is in the evenings or on the weekends.
  4. CES full-time employees please make sure that you are in contact with your Area Director with all of your assignments for EFY and Youth Conferences.
