EFY POLICIES/General Information

Age Groups

There are two EFY age groups: 14–15 and 16–18. Participants will automatically be assigned to the proper age group based on their age on the first day of the session they are attending. Participants must be in the same age group to be roommates.

NOTE: If the participant turns 16 on or between May 1 and December 31 of the current year, they will be given the option to attend either the 14–15 age group or the 16–18 age group.

Age Requirements

All EFY participants must be at least 14 years old by September 30 of the year they are attending EFY, and must not turn 19 before the first day of the session they will attend. If you do not meet the age requirements, you will not be allowed to register for any EFY session.

Confirmation Date/Confirmation Number

Upon a successful EFY registration/enrollment, you will receive an on–screen confirmation page. Please print this for your records. You will NOT receive a receipt or Confirmation in the mail. If you need another copy of your confirmation, you may view and print it by logging onto your account, clicking My Registrations, clicking on the program you want to re-print your confirmation for, clicking on Edit and then clicking on Registration Confirmation. You may also call (801) 422-3817 x 1, or e-mail efy@byu.edu to request a copy of your registration.

NOTE: If you register during the early enrollment random selection process, you will first receive a confirmation number for applying and then a NEW confirmation number will be issued if you are placed in a session.

Counselor Groups

We do not take requests for people to be in the same counselor group at our EFY programs. Counselor groups consist of 8–18 participants of the same gender and same age group. They have a counselor of the same gender as well. Two–Four counselor groups make up a company.

Damages/Lost Keys

Immediately after each EFY session ends and participants leave the housing facilities, universities’ inventory the returned keys and pay a locksmith to re-key the doors to which the missing keys belong and /or make any necessary repairs required to prepare their facilities for the next contracted incoming group. Therefore, we must charge participants for these infractions even if a key is returned after the session ends.

Damages

Participants will be liable for damages caused to property at their session. They will be billed for damages they caused.

Lost Keys

Participants will be issued keys to their housing unit and are held responsible for returning that key to their counselor before check out at the end of the program. Participants are liable for lost keys and will be billed for the cost of that housing unit to be re–keyed. We do not offer a waiting period for keys to be returned. All universities charge CES Youth Programs to re–key doors and make repairs immediately following a session. We promptly pay these fees and bill you for these costs. Re–keying costs vary from $10.00 to $150.00 per lock, depending on the location.

Financial Aid—Apply

If you have applied for financial aid and have not yet received an award, you will be required to pay the full program amount if you choose to register at that time. If you are rewarded financial aid, the amount of the award will be refunded to the credit card used for registration. This refund can take 3–4 weeks from the date of applying the financial aid voucher to your account.

Login Names/Passwords

You only need one login name per person for any of the Division of Continuing Education programs. If you forgot your log in and/or password, click on the “Forgot your login name?” or “Forgot your password?” links located under the “sign in” button to retrieve your log in and/or password here). If you need further assistance, please call our registration room at (801) 422-8925. Please do not create a new log in name if you already have one.

To register for EFY, you are required to use a unique login name and password combination. If you have not created one before, you must do so before you are allowed to register for EFY. You may create a log in here. This is a straightforward process that is similar to creating log in names and passwords on other secure Web sites. You will be asked some personal identifying information and you will choose your own log in name and password.

Every year you register for EFY, or any other Division of Continuing Education programs, you will use your personal log in and password. Each participant must have their own individual login and password.

NOTE: Do not give your password out to others. Our office will never ask for your password.

Medical-Treatment Release Form

To enroll in an EFY program, parents or guardians of each participant must complete the medical release form completely and accurately at the time of registration. The parent/guardian is required to include his or her full name and any emergency phone numbers, including cell phones, home phones, or any other number where you may be reached anytime of the day or night. You will also be required to provide the participant´s physician´s name and phone numbers and your personal insurance information. If you do not have personal medical insurance coverage, please write “none” in the spaces provided. The parent/guardian must indicate any allergies to medications his or her child has and any medications the child may currently be taking. By completing this form, the parent/guardian gives CES Youth Programs, or its representatives, authorization to quickly treat your child in the case of an emergency.

Accident Insurance & Medical Claims

CES Youth Programs Accident Insurance Coverage and claim filing process: We carry limited accident insurance for injuries to a participant that occur at EFY. This coverage is a secondary plan. In the event you do not have insurance, the coverage becomes primary. In any event, you will be responsible to file a claim to the insurance company and track the progress of any reimbursement due you. If your child is injured at an EFY program, our staff will provide any emergency assistance needed and then pass the parent or guardian contact information on to any medical personnel involved.

This insurance does not cover treatment given due to any form of illnesses. If you have any concerns, please contact our office at (801) 422-3817 x 0.

Packing List

- Knee-length shorts or casual pants for five days (Note: Shorts of any length are not allowed at BYU–Idaho.)

- T-shirts or casual shirts for five days

- Sunday dress clothes for 2 to 3 activities

- Underclothes for five days

- Pajamas

- Socks and shoes—both dress and casual shoes (Note: It is a good idea to bring comfortable dress shoes for the Friday Night Dance. Shoes must be worn during the entire dance and for all other activities.)

- Closed toed shoes are strongly recommended for the two dances as well as required for Games Night activities.

- Personal toiletry items: toothbrush, toothpaste, deodorant, soap, shampoo, conditioner, kleenex, etc.

- Scriptures, Preach My Gospel handbook, journal, and pen or pencil

- Optional: spending money; inexpensive camera and film; materials for talent show costume, accompaniment, etc.; and medications—cough drops, aspirin, ibuprofen, etc.

- Linens, for some sessions. Participants may be required to bring their own bed linens (sheets, blankets, etc.), pillows, and towels. Please visit the individual session's information page to see if this is the case.

- Spending money: a small amount of spending money may be needed for incidentals or emergencies. Your counselor will also have the opportunity to order pizza for you as a group on Wednesday night. This usually runs from three to five dollars per person.

- We strongly discourage participants from bringing ipods, stereos, boom boxes, Nintendos, x-box, TVs, gameboys, and any other extra items. We cannot guarantee the security of these items, and the participants do not have much free time in which to use them. Bikes, in-line skates, skateboards, and other athletic equipment (except small leg or arm weights) are not allowed.

Payment Information

Full payment is required at the time of registration. Payment can be made with a credit card with one of the following logos:

American Express, Visa, Discover, MasterCard
Credit Card Logos

ATM cards will not be accepted. They are not compatible with online payments. The total payment will be charged to your credit card at the time you register. Please make sure you have the required amount available on your card before you attempt to register. If your credit card is not approved immediately online, your registration is not complete.

To ensure the security of your credit card information and your privacy, BYU Continuing Education uses CyberSource to process your credit card transactions. CyberSource has been certified to be compliant with the Visa Cardholder Information Security Program, the bank card industry´s most stringent security standard.

NOTE: If your computer is left idle for 30 minutes, you will lose your spot in registration and have to start the registration process over. If you leave the CyberSource payment page idle for 30 minutes or longer, do not enter your payment information–a payment will be accepted through CyberSource, but your registration will have been lost and you´ll need to start over. A refund will be given if a payment is made, but a session is not registered for.

Privacy Policy

BYU is committed to protecting the privacy of the personal information submitted by children/youth and parents who register for EFY. You will be asked to submit, as part of the registration process, certain personal identifiable information such as credit card information. BYU will only use this information for the purposes internal to BYU for which such information was provided. BYU does not share personal identifiable information with others.

Refund Policy

You may receive a refund minus a $25 withdraw fee when you withdraw from the EFY session by 8:59 a.m. the Monday one week before your session your session is scheduled to start. From 9:00 a.m. Monday, the week before your session starts, registration will be closed for that session and you will not be able to withdraw or receive a refund after this time. The reason for our refund policy is as such:

  • We have already contributed financially to institutions where EFY sessions are held and do not receive refunds from them when one or more of our participants does not show up last minute.
  • Accommodations such as housing, meal plans, counselor group assignments, company assignments, etc are made the week before the session begins and it would be unmanageable to have changes in registration during that week
  • If one participant can not attend EFY who was registered, we can not replace them with another participant, but we still have to pay for the new empty spot at EFY.

Roommates

If you choose, you may put in roommate request when you register for EFY. You must be registered in the same EFY session, be the same gender, and be in the same age group to be considered as roommates.

When registering, you must enter your roommate’s name in exactly as they entered it on their registration. Please be careful that you spell their name correctly. Remember, requesting a roommate is only a request—it is NOT guaranteed. If for any reason a participant does not get paired with their requested roommate, we will not be able to make roommate changes on the day the session begins.

Session Links

This 10 digit number is used during the early Application period of registration ONLY to link participants into the same EFY SESSION and NOT to put them in the same counselor group. However, if two individuals in a session link group request each other as roommates, and we are able to accommodate that request, then they will be in the same room and counselor group (see Roommates).

The session link allows youth to apply for EFY sessions in groups of 2–6 persons. The session link will tie this group of youth together so if one of the individuals in the session link gets put into a desired session during the Random Selection Process of registration, then ALL individuals with that same session link will get into that session as well. In contrast, if one individual does not get into a session, then NO members of that session link will get into a session.

The first person who registers with a specific session group link will be asked to choose 1–5 desired EFY sessions to attend for everyone who has the same session link. Each person (until there are 6 persons with that session link) who applies after that individual in the early application period will automatically apply for the same sessions as the first applicant and be linked together with each individual with that session link.

CHANGING YOUR SESSION LINK

You can alter or change your application and session link as long as it is before the application period ends. After everyone in the group applies, if you discover a conflict for someone, or if one person decides to apply independently and not be linked to the group anymore, there is a way to adjust your applications.

If someone no longer wants to be linked to the group, he or she can login and remove the session link number from their application, or change it to a different number. This means that the person will no longer be considered part of the original group.

If the group wants to change their session choices and stay together, each person in the group must login and modify his or her application. First, consult with the group members and decide on a new session link number and new session choices. Then, you can delete the old link number from your application, enter the new link number for the group, and pick the new session choices. Again, the first member of the group to change their application sets the choices for the rest of the group. The other members will be shown the new choices when they enter their new link number. A session link number remains in effect until no one is using it, so be sure that every member of the group deletes the old number and enters the new one.

Transferring Sessions

If the registration deadline has not passed for an EFY session, you may choose to transfer from one session to another.

Transferring Online

To transfer on the Internet, select the “View/Edit My Registration” button and login to your account. Select “Edit Registration/Withdraw” on the program you want to transfer from, and then the TRANSFER links at the bottom of the page. Choose the open session from the list you want to transfer in to and follow the instructions. Remember to print your new confirmation page when completed.

Office Transfer

$10 Office Transfer processing fee applies

If you would like an employee in our office to make a transfer for you, there will be a $10 processing fee. Be prepared to give your current confirmation number and to answer a couple of identifying questions. Please be prepared to make a payment over that phone for that transaction. Also, remember to ask for your new confirmation number.

Transportation

We are not responsible for your child until he/she has checked into our EFY program. It is your responsibility as a parent to see that your child arrives safely. We do not provide transportation to and from the airport at most EFY locations. Participants and parents are responsible for making those arrangements. Please keep this in mind when a participant attends a session which requires the participant extended travel. Not all locations have shuttle service from the nearest airport to the session location. Please see individual session information pages for shuttle information or check with the airport for available service.

  • UT Provo EFY: shuttle services are available from the Salt Lake International Airport to BYU campus (EFY is not affiliated with this shuttle service)

  • ID Rexburg EFY: We have busses that run from BYU in Provo, UT to BYI-I in Rexburg, ID for an additional cost.
  • MT Dillon EFY: We have busses that run from BYU in Provo, UT to the university in Dillon, MT for an additional cost.
Walk-Ons

If a participant does not show up for a session they were registered for, then we will allow another individual of the same gender and age group to attend that session for the cost of EFY plus and additional $25.00. If you are able to walk-on, you will be required to provide credit card information for payment, or we will accept cash or check.

Trying to walk-on to an EFY session holds great risk. We do NOT guarantee any spots for participants who try to walk-on to an EFY session.

NOTE: Please do NOT send your child to an EFY session to walk–on if they can not easily get back home—there is a great chance they will NOT get into the session. Also, room for walk–ons at BYU is rare.

Withdrawals

You may withdraw from an EFY session by 8:59 a.m. the Monday one week before your session your session is scheduled to start. A $25 withdrawal fee will be applied to each withdrawal. From 9:00 a.m. Monday, the week before your session starts, registration will be closed for that session and you will not be able to withdraw or receive a refund after this time. To withdraw from an EFY session using the internet:

Log onto your Division of Continuing Education account using your unique log in and password. Select “Edit Registration/Withdraw” on the program you want to transfer from, and then click the WITHDRAW button at the bottom of the page. You will be asked to confirm your withdrawal and then receive a confirmation that you withdrew from that program.

If you have any questions, please call out registration room at 801-422-8925 for assistance. We can walk you through the process or answer any questions you have.

To have a CES Youth Programs office employee Withdraw your registration:

Only the parent/guardian or participant may request to be withdrawn by an employee in our office. You need to submit in writing (e-mail, letter, fax) that you need to be withdrawn from a program. You need to include ALL of the following information in your written request:

  1. Requestor’s name and relationship to the participant
  2. Desired program to be withdrawn from
  3. Confirmation number of registration
  4. Participant Full Name
  5. Participant Log In ID
  6. Participant Date of Birth
  7. Statement explaining that you want to be withdrawn

You are responsible to make sure your enrollment is withdrawn. If a written request is made, but does NOT include ALL of the above information, we will not withdraw the participant from the desired program and you are responsible for not making the withdrawal deadline.
