Admission and Standards

Participants attending these programs must maintain the standards of Brigham Young University (i.e., high standards of honor, integrity, language, and morality; abstinence from tobacco, alcohol, coffee, tea, and harmful drugs; and modesty in dress). Athletic shorts and performance attire are acceptable only in the PE and housing areas. Shorts worn in other areas on campus must be knee-length. Please--no sleeveless shirts or tank tops. Dress standards are strictly enforced in the cafeterias and on the main campus. A clean and well-cared-for appearance should be maintained. Hairstyles should be clean and neat, avoiding extreme styles. Men's hair should be trimmed above the collar, leaving the ear uncovered. Earrings for men are unacceptable, and men are expected to be clean-shaven. Beards are therefore not acceptable, except for documented reasons that must be coordinated with Conferences and Workshops.

The following are the responsibilities of each participant: Maintain respectful attitudes toward faculty, coaches, instructors, counselors, and all other individuals; demonstrate proper use of university equipment and facilities; attend camp sessions and activities; follow instructions; respect curfews; dress modestly; refrain from vulgar and profane language; and come prepared to observe the BYU Honor Code.

Brigham Young University's Division of Continuing Education is committed to providing a learning atmosphere that reasonably accommodates persons with disabilities who are otherwise qualified to attend. Prior to registration, all applicants with disabilities may discuss the program requirements and available facilities with the applicable program director.

Any participant involved in theft; the illegal use of drugs; consumption of alcohol; infraction of dormitory rules, curfew, or BYU standards; or any other unlawful or immoral act will be sent home and/or prosecuted. No refunds will be given for those asked to leave the program because of these violations. Parents are responsible for picking up a participant who has been dismissed and for paying any costs incurred for transportation. Due to safety and liability concerns, participants found in or entering campus construction areas will be subject to immediate dismissal.

Registration

Registration for the Fathers and Sons’ Camp opens Wednesday, February 13, 2008 at 9:00 a.m. MST. Registration for all other camps begins on Thursday, February 14, 2008 at 9:00 a.m. MST. Participants may register in person, over the Internet, or by telephone. Please make checks payable to Brigham Young University. Registrations will not be finalized until BYU Conferences and Workshops receives a signed parental consent and participant agreement. Due to high demand, some camps fill very quickly and registering early is recommended. Full tuition must be paid at the time of registration. No deposits will be accepted. Except for Ballet Workshops, walk-ons will be accepted in each program on a space-available basis only. For walk-on registrations, please call to check on the status of the program. When you receive your receipt, please open it immediately and check it over to verify that all information (camp dates, Social Security number, payment amount, etc.) is correct. Notify us immediately if any of the information is incorrect.

Cancellations and Refunds

Only a participant and his or her parents have authority to request a refund. Full refunds, minus the $25 nonrefundable portion of camp tuition, will be given on all cancellations requested by 5:00 p.m. one week before the camp begins. No refunds will be given after this deadline. For example, if you are attending a Baseball Camp beginning Monday, June 23, refunds will not be given after 5:00 p.m. Monday, June 16.

The simplest way to cancel a camp registration is to log into the participant’s account online and process the withdrawal yourself. You can also call (801) 422-8925 to cancel a camp registration.

Any cancellation initiated within three days of registering for the camp will receive a full refund. If a program is canceled, a full refund will be given. Brigham Young University cannot be held responsible for any change or cancellation charges required by airlines, travel agencies, or other institutions.

How Long Does It Take to Get a Refund?

The refund process can take between six and eight weeks, but is usually quicker. You will be reimbursed in the same way you paid your camp tuition. For example: if you paid your tuition by check, we will send your reimbursement by check, not as a credit to your bankcard.

Transfer to a Different Camp

To transfer to a different camp (Example: Soccer to Tennis) you will need to withdraw from the first camp and then register for the new camp. This can be completed online by the customer or by calling (801)422-8925. If completed online you will see the credit (minus the non-refundable $25). This credit can be applied to the new camp. If the new camp is less expensive you will receive a refund, otherwise you can pay any additional fees online.

When transferring from a housing to a non-housing section (or vice versa) or when transferring between weeks of the same camp, there is no fee. This can be completed online by you or by calling (801) 422-8925.

Housing

Participants requesting the housing package will stay in BYU residence halls; the cost includes breakfast, lunch, and dinner in the all-you-can-eat cafeterias; an evening recreation program; and counselor supervision. Meals generally start with Monday lunch and run through Friday lunch. Friday night housing is not included in the housing package. All participants will need to check out Friday. Bedding and linens will be furnished for each participant, but campers should bring soap, clothes hangers, swimsuits, alarm clocks, and other personal items. Participants will be liable for any damage they cause to university property, equipment, or facilities. Housing is limited, so please register early!

Early Arrivals

Early arrivals are strongly discouraged. However, if transportation scheduling requires camp participants to arrive on campus earlier than the first day of the program, they may do so. Participants arriving early will be expected to maintain BYU standards, observe the residence hall curfew of 10:30 p.m., and pay a special housing fee that covers the cost of lodging and supervision. They will be responsible for arranging and paying for their own meals until the program officially begins. Please contact BYU Conference Accommodations at http://www.byu.edu/confservices or (801) 422-5671 to arrange for early-arrival housing. Meals are available in the all-you-can-eat cafeterias for a moderate price. Early-arriving participants staying in campus housing must be officially registered in a camp program with their registration fee paid in full.

Evening Recreation

For residence hall participants only, recreational activities during free time are essential to a successful camp experience. When residence hall participants are not in evening training sessions, they enjoy structured activities under the direction of trained counselors. These activities provide an opportunity for social interaction and fun. Free time may be used to relax, to become acquainted with the campus, and to get to know other participants.

Meals for Nonhousing Participants

All camps and workshops, except Cougar Cub Camps, offer lunch either in the campus all-you-can-eat cafeterias or on site. Some camp packages include dinner in the same cafeterias. Please see individual pages under Special Features. Cougar Cub Camps do not provide any meals.

Travel

The Department of Conferences and Workshops is not responsible for your child until he/she arrives at camp check-in. Participants traveling to camp by plane should fly to the Salt Lake City International Airport. Brigham Young University is approximately 50 miles south of the airport. We do not provide transportation to and from the airport. Commercial shuttle services are available between the Salt Lake International Airport and BYU.  For reservations and pricing, contact Express Shuttle at 1-800-397-0773 or Anytime Airport Shuttle at 1-866-909-7678 or visit www.anytimeairportshuttle.com for additional information.  To receive the special BYU discount you must mention what camp you are with and the reservation must be made 24 hours in advance of your arrival/departure.  Participants who drive to camp must leave their car parked at the residence halls or parking lots near the practice facilities. Participants must not transport other camp participants.

Athletic Trainers

Under the direction of BYU's athletic training program, experienced trainers will be present to take preventive action and to provide emergency care during the sports camps. These trainers are not allowed to give participants medication. If medication is needed, please contact BYU Conferences and Workshops so we may make an appropriate plan to get your son or daughter the necessary medication.

Insurance

Participants must carry primary insurance while attending the camp. Parents or guardians are responsible for all medical expenses incurred for participants in all camps and workshops (this includes filing claims with your primary insurance, filing claims with BYU's secondary accident insurance company, and paying remaining balances not covered by either insurance). Brigham Young University Conferences and Workshops provides a limited secondary accident insurance policy which may pay excess claims not covered by the participant's primary insurance. Medical expenses incurred due to illness will not be covered. Depending on the nature of the injury, participants will be treated either at the BYU Student Health Center or the Utah Valley Regional Medical Center Emergency Room.

The parent(s) or guardian(s) of a camper requiring medical treatment at either facility will be notified of the treatment within twenty-four hours. We know how important timely notification is for insurance claims, so please list your daytime and home phone numbers on the registration form.
