Description:                  Suggestions will be made on a way to organize a family reunion.

A family reunion notebook will be displayed with suggestions for its contents.   By combining recipes, assignments and activities into one resource, the person in charge can relax.  This book can become a valuable resource for preparing future reunions as well as preserving a record of the family’s activities.

Reunion Resource Book:

 

In a 3-ring binder with sheet protectors, place everything that pertains to your reunion file.  You’ll stay organized and you’ll have good records for next year’s planner.  Helpful items would be:

 

·    Informational letters sent to family members.

 

·    Reunion site information--facility description, rental fee, person to contact (with pertinent phone numbers and e-mail addresses), and amount of deposit paid.

   

·    Daily schedule.  Include a copy of all assignments made (i.e. family games, family prayer, flag ceremonies, treasure hunt, piñata,     campfires, devotionals, families in charge of meals etc.            

                       

·    Menus with recipes. Be very specific with meal planning.  Include how many tomatoes to slice, bags of chips to serve, etc.  Attention to detail in the planning phase allows others to look in the book at meal times instead of finding you!

                         

·    Complete shopping list

 

·    Family History section-include photos from prior reunions and questionnaires with participant's interests, friends, hobbies, etc.   Our parents put together a photo family group sheet, and we’ve  included it in the notebook which will also function as a history.

 

·    Financial information-Family contributions, budget, receipts.  Be really   careful here.  Next year’s chairman will be really confused if your numbers look a lot better than hers!

 

·    Follow-up sheet.  Record what went well, what could be improved, and how your expenses compared with your budget.  Schedule a meeting with all the adults at the end of reunion to record requests and suggestions.

 

2.  Keep your book in a conspicuous place during the reunion and inform others

of severe penalties for removing it! 

 

Time spent in organizing, planning, and recording will pay off in free time for you at the reunion and will provide a great resource for those who plan reunions after you.  A well planned yet relaxing reunion reinforces for everyone the truth that  "Together is a wonderful place to be!"
